What is Lead Routing?
Lead routing is the automated process of assigning an inbound lead to a specific sales representative or team based on predefined criteria. The goal is to get the right lead to the right person as quickly as possible, minimising response time and maximising the chance of conversion.
Common Routing Methods
Round-robin: Leads are distributed evenly across the team in rotation. Simple and fair, but does not account for availability. If the next rep in the rotation is in a meeting, the lead waits.
Availability-based: Leads go to the rep who is currently available and has the fewest active leads. Faster than round-robin but requires real-time availability tracking.
Territory-based: Leads are assigned based on geographic region. Common in real estate, insurance, and home services where local knowledge matters.
Temperature-based: HOT leads go to the team's best closers. WARM leads go to the general team. COLD leads enter an automated sequence. This prioritises your strongest reps for the highest-value opportunities.
Skill-based: Leads are matched to reps based on product expertise, language, or industry specialisation.
Why Routing Speed Matters
The routing step is often the hidden bottleneck in lead response. The lead comes in, the system decides who to assign it to, and that decision takes anywhere from instant to several hours (in the case of manual assignment by a manager).
Automated routing eliminates this delay. The lead arrives, the system applies routing rules, and the assigned rep receives a notification within seconds. No human decision-making required.
Best Practices
- Always have a fallback. If the assigned rep does not respond within the SLA window, automatically re-route to the next available rep.
- Route by temperature. HOT leads should not follow the same path as COLD leads. HOT leads need your fastest, most experienced responders.
- Track routing-to-call time. Measure not just when the lead was created, but when it was assigned and when the first call was made. The gap between assignment and call is your internal friction.
SignalSprint combines temperature-based routing with real-time availability tracking, ensuring HOT leads reach your fastest responder within seconds.
